Description
Required Qualifications:
- Bachelor's degree in business field or a related field as well as a minimum of 5 years of experience supporting Senior Officials, VIPs, or dignitaries in an equivalent office environment
- Experience in forming working relations both internal and external as well as representing the organization as a liaison to other high level officials.
- Must possess good phone manner and high level of proficiency in both written and verbal English skills with demonstrated ability to work independently
- Excellent attendance and punctuality a must
- Must be flexible and willing to assist with various clerical functions
- Exemplary oral and written skills are required including style manual and formatting experience
- Extensive knowledge of Microsoft Office Suite applications to include MS Windows, MS Word, MS Excel, MS PowerPoint, electronic calendaring and email (MS Outlook), VISIO flowcharting, MS Project scheduling software and must quickly become proficient on other available resource software
- Previous experience utilizing high degree of judgment and latitude to take action in non-routine situations, performing multiple tasks simultaneously, as well as interpreting and adapting policies, precedents, and practices in changing situations
Duties include, but are not limited to the following:
- Utilize computer software, primarily MS Word, Excel, PowerPoint, and Outlook to type, prepare, store, transfer, and print documents including letters, memoranda, forms, reports, charts, graphs, and presentations from handwritten or electronic drafts or from supplied samples and provided data
- Knowledge of Adobe Professional to review, highlight and convert, incoming files
- Review all outgoing documents for format, grammar, and punctuation in accordance with the US Government Printing Office Style Manual
- Send documents via electronic methods, US Mail, or use of overnight delivery services (or a combination of more than one) and use of correspondence tracking system
- Maintain confidential office files and central tracking systems
- Receive, sort and distribute incoming mail and other documents and packages
- Copy and scan documents
- Coordinate the pick-up and distribution of office supplies
- Provide phone coverage to front offices (if required)
- Direct phone calls
- Arrange for pick-up of principles by car service (if required)
- Monitor calendars of management to be able to speak to the executive's whereabouts during the workday
- Manage in-boxes of dignitaries on a regular basis, and serve as a back-up (if required)
- Schedule meetings involving principles, as necessary
- Process travel arrangements for management (if required)
- Perform other duties and projects/tasks as assigned
