Description

The contractor  shall provide Training Course Administrative Support Services for the Training and Course Curriculum Developer in the Hospital Education and Training Department at the Walter Reed National Military Medical Center, Bethesda, Maryland. The contractor shall provide administrative support for the trainers, the course directors, and shall complete program administration for Trauma Nursing Core Course (TNCC), Joint Enlisted Medication Administration Course (JEMAC), Charge Nurse Course (CNC), and Nurse Preceptor Course (NPC). The contractor shall provide direct instructions to students regarding administrative procedures and select course content.

Qualifications:

  • High School Diploma or GED
  • Shall be able to read, write, speak, and understand English
  • Be a U.S Citizen.

Specific Duties/Tasks a. Training course administration for TNCC and JEMAC: The contractor shall provide administrative support for the Hospital Education and Training Department to include various office functions and responsibilities. The support shall include but is not limited to the following: • Assist in generating and communicating annual training calendar (hard-copy and electronic)

• Responsible for establishing course infrastructure requirements to meet identified training needs based upon direction from Program Director and SMEs. This includes soliciting and identifying instructors from among SMEs, identifying and arranging room, technological, and student material resources; and implementing the communication plans for new and existing training activities.

• Responsible for maintaining course infrastructure requirements for numerous courses assigned by Program Director. Incumbent will not establish content, objectives, tests or provide instruction of core content.

• Pre-course responsibilities include: scheduling rooms, recruiting and scheduling instructors, submitting course applications to external agencies, prioritizing and enrolling students, communicating pre-course instructions to students, ordering and maintaining course manuals, mailing pre-course materials to participants, scheduling and facilitating pre-course testing; preparing agendas, preparing student handouts, preparing evaluations, maintaining/revising course content, uploading content onto intranet or into current learning management system; obtaining and setting up equipment for hands-on skills training, setting up the classroom, executing the communication plan, and reviews content of continuing education applications for completeness.

• Intra-course responsibilities include: introduction of course to students, instruction on course administration procedures, pulling up electronic course materials (PowerPoint presentations), time management of instructors and students, ensuring on-time instructor arrival, adjusting schedule based upon changing instructor availability, prepare final student and instructor attendance rosters (remove no shows, add walk-ins), correct student written tests, prepare certificates of completion, facilitate distribution and collection of course evaluation forms..

Post-course responsibilities include: input course evaluation responses into electronic system; electronically update course attendance/completion data into PCR; scan and upload course documents into electronic PCR files; compiles hard-copy PCR file of course documents; submits PCRs to application external agencies; updates instructor database and instructor credential files; trouble-shoots PCR discrepancies with external agencies and internal customers; communicates PCR details and changing program requirements to Program Directors; creates and maintains course standard operating procedure (SOP) files; monitors and adjusts course operations based upon administrative procedures form external agencies; reports ad hoc course completion statistics to command leadership as needed; assists in preparation of annual and biannual continuing education reports to higher authorities.

1) Prepare and submit course application into U.S. Army Command CNE website.

2) Approve participant’s registration request into U.S. Army Command CNE website.

3) Monitors student enrollments to ensure maximum student capacity is not exceeded

4) Emails a welcome letter to all participants and calendar invite to instructors four weeks before the start of the course. This letter will indicate dates, time, place, and attire for class.

5) Email a reminder to all participants two days before the start of the course.

6) Emails a class enrollment roster to the Program Director one week before the start of the course.

7) Prepare the room with all necessary audiovisual equipment required for the course and ensure its operation.

8) Upon the direction of the Program Director, notify participants of any change(s) to the class, i.e. room change, class cancelation. Posts signage in the rooms when a room change is required or when a class is canceled.

9) Ensure all power point presentations are present on the Nurse Preceptor course or Charge Nurse course share drive intranet and immediately available for use by the instructors.

10) Print out the agenda and hand-outs once approved by the Program Director.

11) Prepare sign-in rosters for the course.

12) Prepare the flyer and advertise the course through Postmaster.

13) Enter course AAR into U.S. Army Command CNE website 60 days after course completed

14) Maintain instructor’s conflict of interest disclosure form and curriculum vitae.
