STAFF ASSISTANT

REQUIRED: TOP SECRET Security Clearance

The U.S. Department of State’s Bureau of Economic and Business Affairs is seeking qualified individuals to provide various administrative services as outlined in the Task section below.

This position is located in the Bureau of Economic and Business Affairs Front Office (EB/FO) and is responsible for providing administrative support to the EB Assistant Secretary, Principal Deputy Assistant Secretary (PDAS), Chief of Staff, and Senior Advisor.  Due to Ukraine, a significant staffing gap and lack of suitable candidates, combined with an expected increase in Front Office work, the Front Office requires two additional administrative support for the coming months

Responsibilities include:

  • Implement best practices for the efficient review and processing of Front Office paper and assist in identifying gaps and maintaining quality control.
  • Work in a collaborative, fast-paced work environment and provide support and assistance to other team members as necessary.
  • Prioritizes and tasks all incoming papers and projects, with minimal miscommunication and as soon as feasible after receipt.
  • Maintain and update various tracking files; request bureaus’ clearance of memoranda for senior State Department officials, and troubleshoot specific concerns

Qualifications and Requirements
  • Must have a bachelor’s degree from a university and one year of specialized experience demonstrating the following:
    • Experience with Microsoft Office suite.
    • Experience working with staff at all levels.
    • Experience in general administrative practices within Federal Government. 
NOTE:  This position requires shift work: 

The staff assistant will serve in shift rotation that can require working until 8:00 pm, 3 nights per week.
 
Shift Schedules: 8:00 am - 4:00 pm and 12:00 pm to 8:00 p.m.
